Sales Order Confirmation (SOC) – What Your Client Sees
The Email & SOC Access
When your client receives the SOC email and clicks on the link, they will be asked to provide their name and email address.
Once Send code is clicked, the screen will update to request a 6 digit code. The client will be emailed this access code immediately.
WHY?
This step is for security, tracing, and accountability.
As SOCs can be shared with colleagues for input, this ensures that anyone taking action—such as commenting or granting approval for the purchase —can be clearly identified.


Client Actions on the SOC
The primary function of the SOC is to gain client acknowledgement that all order details are correct before production begins.
Acceptance:
Each item, the summary section and any additional elements you have added must be Accepted before the master Approve Order button becomes active.
Purchase Order Number:
A PO# field is provided for your client to use if required.
Feedback & Comments:
Beyond approvals, the SOC allows clients to provide direct feedback via comments on specific elements. To maintain a clear audit trail, these entries identify the user and are automatically timestamped.
Pro-tip: To view the author’s email address, simply hover your cursor over the user’s name while viewing the SOC.
Independent Feedback:
Clients can submit feedback or comments without needing to ‘Accept‘ an item or element first.
User Notifications:
When a client leaves a comment, a notification will appear in the SOC section of the original Quote screen, alerting you that feedback is ready to view.

On Approval
Once the SOC is approved, the notification recipients identified during the SOC creation stage will receive a confirmation email with the final details. At a minimum, distribution will include the primary client contact listed on the quote and the Account Manager.(unless deselected)
