Project Artifacts (Entities & Emails)

At the top of each of the Activity Entity screens (Enquiries, Quotes, Projects, Jobs, PO’s) you will see a Project Artifacts symbol.

This provides a shortcut to viewing

• Project Entities
• Project Emails (Outgoing & Incoming)

Project Entities

Project Entities are the various stages you go through when fulfilling an enquiry – and are also represented in the Activity Menu
(Enquiries, Quotes, Projects, Jobs, PO’s)

The Project Artifacts pop up displays the hierarchy of entities created to reach the stage you are currently viewing.

Eg – The Project Artifact below was generated from a Job page. It displays the previous stages/entities that went into creating this Job.(The Project and the Quote) It also displays the clients Company and Contact

All of these artifacts are hyperlinked to provide easy access to information and the associated entities for an Enquiry or Project.

Project Emails

Brandengine not only records emails sent from the system (outgoing), it also allows you to send external emails into the enquiry/project for historical reference (incoming).

To see emails associated to this enquiry/project – click on “View project emails” after you’ve clicked on the artifacts icon at the top of screen.

• Outgoing Emails

Brandengine keeps a record of all outgoing (project) system generated emails.

In the Project Emails view, the subject line of emails sent by Brandengine is prefixed with an “up” arrow.

The summary information on the left of the pop-up also contains a quick link to any documents included in outgoing emails.(eg Quotes or PO’s)

• Incoming Emails

Brandengine also allows you to attach an external email to a project

You can receive (and store) relevant emails into the enquiry/project. Incoming emails are prefixed with a “down” arrow.

An example of an incoming email might be art approvals, or a detailed email conversation that you’ve had with your client that you want to store for posterity.

To attach an email into the enquiry/project – click on the Project Artifacts icon at the top of screen

…a pop up will appear…

Click to copy the project email address – and send the relevant email/s to this address from your email program (Outlook, Gmail etc…)

If the email being received by the Brandengine project contains attachments, these will be automatically stored in that particular projects Artworks & Documents folder within Brandengine.
