Project Artifacts (Emails, Entities & Notes)

At the top of each Activity Entity screen (Enquiries, Quotes, Projects, Jobs, POs), you’ll find the Project Artifacts icon. This is an ideal place to reference and log information needed globally throughout the project.

This provides a system wide shortcut for;

  • Viewing Project Entities
  • Accessing Project Emails (Outgoing & Incoming)
  • Viewing & editing any Action Notes inserted into the Enquiry / Project

Project Entities

Project Entities represent the various stages involved in fulfilling an enquiry and are also shown in the Activity Menu (Enquiries, Quotes, Projects, Jobs, POs).

The Project Artifacts popup displays the hierarchy of entities created to reach the current stage you are viewing, along with project-wide notes.

For example, the Project Artifact below was generated from a PO page. It shows the previous stages/entities that contributed to creating this PO (the Job, Project, and Quote), as well as the client’s Company and Contact.

All of these artifacts are hyperlinked for easy access to information and related entities within an Enquiry or Project.

Enquiry Briefing Notes (the yellow box)

These are the “briefing” or general notes applied when the initial enquiry was logged into your system. These notes flow into, and can also be edited in, the Project window.

Project Emails

Brandengine records both outgoing emails sent from the system and incoming emails sent into the enquiry or project for historical reference.

To view emails associated with a specific enquiry or project, click on the Project Artifacts icon at the top of the screen, then select “View Project Emails.”

  • Outgoing Emails

Brandengine keeps a record of all outgoing system-generated project emails.

In the Project Emails view, emails sent by Brandengine are marked with an upward arrow in the subject line.

The summary panel on the left side of the popup also includes quick links to any documents attached to outgoing emails (e.g., Quotes or POs).

  • Incoming Emails

Brandengine also allows you to attach external emails to a project.

You can receive and store relevant emails directly within the enquiry or project. Incoming emails are marked with a downward arrow (↓) in the subject line.

Typical examples include art approvals or detailed client correspondence you’d like to retain for future reference.

To attach an email to an enquiry or project:

From your email program (e.g., Outlook, Gmail), forward or send the relevant email(s) to that address.

Click the Project Artifacts icon at the top of the screen.

In the popup window, click to copy the unique project email address.

If an incoming email to the Brandengine project contains attachments, they will be automatically stored in the project’s Artworks & Documents folder within Brandengine.

Project Notes (Action-Notes)

On the right side of the Project Artifacts window, you’ll find the Project Notes (Action Notes). These can be edited directly within this window or in the related Enquiry or Project screen, providing a centralised communication hub for any client-related activity.

Project Notes also include a pin function, allowing important notes to stay visible at the top of the list. Pinned notes are highlighted in blue (see image above).

When pinned notes are present, an orange flag appears on the Project Artifacts icon at the top of the screen.
