Quote PDF Layout

When automatically generating quote PDF’s, there are a large amount of variables to consider when creating a consistent layout.

These include things like:

  • How long will the introduction/greeting text be?
  • Do products have a long description and/or lots of colours
  • How many quantity breaks will be quoted?
  • Do products have multiple price sets (variations)
  • How long will the T&C’s be?

To this end, we believe we have come up with a easy-to-read layout that accommodates these needs – but there are some exceptions and things to remember.

Each page in the PDF has a header that contains your logo, quote number and date

The footer contains page numbering.

Most products will be presented on a separate page.

This then caters for longer product information and multiple price sets
…however…
If your greeting text (or graphics) occupies less than the equivalent of 16 lines (including blank lines), and the product has only 1 price set/variation – then the 1st product will likely appear on the 1st page – this will depend on how much product information is presented.

If you want to consistently have a cover page, and show products from the 2nd page onwards, then we recommend your greeting occupies the space of 17 or more lines (including blanks lines)

Remember: the position of items in your quote can also be controlled when editing the quote

Pricing tables have been formatted for up to 4 quantity breaks

If you need more than 4 price breaks, we suggest you add these in a new price set for the same product, otherwise the formatting of your quote may be compromised.

Quote colours

Whilst the main text colour will be “black” – some of the elements in your quote can have the colour changed to match your brand.

    1. PDF Colour 1 – applies to the Quote number, Quantity breaks and Total Ex-GST
    1. PDF Colour 2 – applies to Product headings (Product name and Display name)
    1. PDF Line colour – Used for the product price table. If blank, the table will not show.

This global option is in Company settings and is controlled by your administrator

Tip: These can always be set to Black (#000) if you don’t want colours in the quote

Terms and Conditions – Validation Date

These will appear at the end of the quote
