Edit an Item

When a product is added to Your Database you can make changes to it.

This is possible for both manually created products/items that have been entered into Brandengine by you and your team as well as items that have been imported into your database from Promodata.

BTW ~ Edited Promodata products will still be updated as required, and updates will not alter any edits/additions you make.

You can access the Edit tool from 2 locations:

From the item catalogue view, via the product hamburger menu Brandengine--Items---Hamburger-Menu

Both paths will open the Edit item pop up will appear with multiple tabs of information that can be edited.

In this example, we’ll discuss the editing based on an imported Promodata product because if you’ve already created your own item in the database, you’ll have a good idea of how this works.

You have 4 information tabs that can be augmented.

  • Details
  • Description
  • Images
  • Prices

Details

This is the core information of the item in your database.

These below fields are populated with Supplier/Vendor data.

  • Supplier’s Item Name – This field flows into PO’s
  • Supplier’s Item Code – This field flows into PO’s
  • Item usage in quotes – products will default to Standalone (Can be sold by itself) – you can also select Add-on (needs a standalone item to be sold – eg decoration)
  • If Add on, can only be used with items from this vendor? – this helps minimise screen real estate when pricing quotes by reducing list sizes
  • Vendor – can not be edited.
  • Item type
  • Supplier’s website url – This link will appear when quoting for quick info checking. Update this if the vendor supplied info is incorrect/missing

Fields on the details tab that you may want to interact with are:

  • Distributors item name – do you want to give this product a unique name (Product Name Mask)? – if not the Supplier’s name will be displayed. This name appears on quotes but not on PO’s
  • Distributors item code – if left unaltered, BE will generate a unique code (a Product Code Mask) for this item that will appear on quotes (if required) – or – you can enter in your own. The code Prefix provided during onboarding forms part of this code. This code appears on quotes but not on PO’s
  • Distributor’s website url – This link will appear when quoting for quick reference
  • Notes – Any relevant notes on the item – for internal consumption only.

Description

If the vendor provided product descriptions and/or colours need more pizazz or formatting, are lacking info, contain typos or have grammar issues, you can insert your own copy for use in quotes. This can be done manually or you use our AI Compose tool to create unique product descriptions.

Once saved, this revised info will be stored in your database and can be used for this product when it is quoted by anyone in your team. You will be able to switch between the edited and original description on a quote by quote basis as desired.

NB – If either of the fields are blank, the original vendor info will appear in that field on your quotes.(If available)

Images

Supplier/Vendor photos for this item.

If you have other images that you would like to have access to when quoting, please feel free to load them. They will then be accessible when quoting.

NB – If an item has no image – it will not appear in the catalogue view by default.
You will need to deselect the Items with images filter to see the item.

Prices

The pricing tab allows you to include additional product pricing as needed.

This may be for recording missing or additional info on the Vendors price list – but will most likely be used to record preferential supplier pricing if available.

The Promodata pricing will still be accessible (and updated) for this product, whilst any pricing you add will appear on the Database prices tab when quoting.
