$ Add Pricing to Quotes
Beneath the product information block you will find the 1st price set waiting for you to add details.
A price set contains the financial info for a particular variation of this product. (Usually a decoration type)
You can easily add multiple price sets for each product being quoted to offer variants of the item (decoration options, etc…) or to break out things like freight or setup that may have different margins.
There are 5 elements within a price set:
- Display Name
- Costs
- Margins
- Appearance on quote
- Add another price set
Display Name
The Display name identifies the price set on your quote by appearing as a bold heading above the price set.
This automatically populates with line item information brought into the quote but can be edited in 1 of 3 ways
- By entering new text into the field
- Opening the hamburger menu to the left of the line item you’d like to display (eg – decoration type) and selecting Use as display name
- A combination of the above
NB – If you are integrated with Xero, the Display Name (and your Distributor product code) also appears on your Invoice when this is pushed through to Xero from Brandengine. This is so the information on the invoice reflects the quote that was sent to your client
Tip: If you just want to send your client a collection of product ideas to consider you can hide the pricing set from the quote by clicking the eye icon to the left of the Display Name – This then makes it easier to come back later and add pricing after client feedback
Costs
The costs for a price set (and hence the product) are configured by adding line items.
Multiple line items can be added to each price set.
These line items may include (but are not limited to):
- Product
- Decoration
- Fixed Costs/Setup
- Freight
- Artwork
- Handling/3PL etc…
These line items will either be in the Promodata feed (eg Product, Decoration by Supplier…) – or would have been added to your database by team members in your organisation (Decoration by an external source, Freight, Artwork etc…)
To add costs to your quote, click on $ Add pricing
This will open a pop up containing tabs with various categorisations of pricing.
The default (or initial) tab is Promodata prices – followed by pricing you and/or your team have loaded into Brandengine.
The formatting and function of Promodata prices will vary based on supplier data and the way their pricing is formatted on their website/pricelist.
NB – All prices in Promodata are provided and maintained by Suppliers.
To add pricing to your quote, check the box/es corresponding to the line item you wish to add.
Multiple line items can be selected across multiple tabs as required.
(Or you can add them one at a time)
A summary of line items to be added to your quote will appear at the bottom of the pop up (shaded in blue)
To confirm the inclusion of these prices in your quote – click Add
(Or deselect anything added in error – then click Add)
The selected line items will be added to your quote.
To see prices, you will need to indicate your required quantity break/s by entering values into the Add qty field.
To include additional price breaks click + Add Column
If you need to sort the price breaks into ascending order click Sort Columns
(This also removes columns when the quantity break is empty or deleted)
You have the ability to designate multiples of each line item as required. (In the Multi column)
Brandengine will then populate both unit and fixed costs as required into the respective line items data.
Any blue field can be edited by you.
This includes the Cost name, Unit cost and Fixed cost, all of which will appear on PO’s
When you alter pricing, the field changes from blue to green to indicate that this has been edited and impacts the final price.
Tip: Altering a Cost Name is a good way to record information that will flow into PO’s automatically and also provides a valuable reference point later on. (eg Screen print, 3 colours, left chest, PMS 1, PMS 2, PMS 3)
To the left of the line item costs are 2 icons
The eye icon hides the line item costs from the quote
The hamburger icon opens a menu of additional formatting options for each line item.
Each line item also displays the Supplier/Vendor name. This is hyperlinked to a quicklook bar containing extra supplier information. This will appear to the right of screen.
Tip: Be sure to click Save Changes at the top of screen after any edits you make
Brandengine then formulates costs per quantity break by adding the various line items pricing.
Fixed (Setup) costs are amortised across the Quantity break and then added to Unit Costs to give a single Cost per unit for each column/quantity break.
Total cost = Cost per unit X Column Quantity
All costs are EX-GST
Your margins (profit) calculations are then based on these figures.
Margins
This section focuses on your profit and hosts more functionality than just adding a margin.
By default, the smart grid used for calculation will display profit percentages as Margin.
(The default % value is entered in company settings by your admins, but can be changed as needed on a quote by quote basis. This is dependent on your company’s pricing policy)
If you normally do your calculations based on adding percentage profit to costs – click on the Switch to Markup button to the left of the smart grid.
If you would rather, you can base your profit on setting dollar values.
(Or use this function to “beautify” unit costs)
To do so, you can edit either the Total Profit, Unit Sell or Total Sell fields in each quantity column.
The smart grid then makes the necessary changes to the other fields so they reflect the required values to match the edited (preferred) amount.
eg – Your company may have a policy where a minimum dollar value profit is required for any job. You can enter this value into the Total Profit field, and the smart grid will automatically adjust the Margin/Markup, Unit Sell and Total Sell value to reflect this adjustment.
Any pricing fields that are interacted with, and impact the final pricing, will be shaded green
The pricing finalised in the smart grid is still EX-GST. This then flows into the “Appearance on quote” section.
Appearance on quote
This section controls the way your pricing displays on your quote.
By default, everything is rolled into a single unit cost (by quantity break) for the client.
Deselecting the Unit Price check box displays the total ex-gst price based on the quantity break. ~ (Price X Quantity)
If you need to send an itemised quote (or with itemised components) you can + Add Row (or multiple rows) to your quotes appearance ~ This doesn’t alter the final pricing.
After click +Add Row, you will be presented with a list of the line items that make up your product pricing – and – a new line in the quote appearance.
Simply drag the line item you wish to itemise into the drag and drop box – then nominate if you wish to display a Unit price – and – give your new line a descriptor/heading.
If you are breaking out a decoration method, we suggest making sure you drag both the Unit cost and Fixed cost into the same line to give a true representation. (but the final decision of how this works is ultimately yours)
If you make a mistake, just drag the offending component back into the 1st price group.
+Add as many rows as needed to satisfy your clients request.
New rows will allow you to alter the pricing for the quantity breaks in that line – but this doesn’t impact the final sell price for each break ~ give it a try…
Tip: A good use case for adding rows is an upsell
(without creating a whole new product quote)
eg – Add a Gift Box to your price set – then break it out on a separate row in the quotes appearance. That way the client can see the box costs and how it affects totals without having the reach for the calculator.
Add another price set
To give the client options for the same product (eg – different decoration types) – simply +Add another price set ~ this will add another price table for the new variant directly under the same product description for easy comparison.
This tool can also be used to break out elements like Setup & Freight (eg) where you want to apply different margins…
You can add as many price sets as needed.
Review Info
