Customer PO Numbers
Brandengine lets you record a client’s PO number so it’s automatically added to the sales invoice in your accounting software (if it’s been connected).
PO# Format
Within Company Settings, your Admin can dictate system-wide formatting of the PO number that will appear in your accounting package.
To edit this, go to:
MainMenu > Your Company > Company-wide Settings > Company Settings > Default Settings
Click Edit

Locate the settings for your accounting package and the drop down menu for Invoice reference field in… and select your preference.

- Customer PO (blank if no customer PO)
The customer’s PO number will be displayed only if it has been entered. Otherwise, this field will remain empty. - Customer PO + BE Invoice +BE Project
The customer PO# will show (if entered) followed by the BE Invoice & Project ID numbers. - BE Invoice + BE Project (if customer PO blank)
The client’s PO# is shown if entered; otherwise, the BE Invoice & Project ID are displayed. - Customer PO + BE Quote
The customer PO# will show (if entered) followed by the BE Quote number. - BE Quote (if customer PO blank)

Entering the Customers PO#

These can be assigned in multiple locations in the system
Enquiries & Projects
If you know the client’s PO number prior to them placing an order (approving the quote), you can add it to the Details section of the Enquiry or Project record. The system will then automatically pre-fill this PO number on any quotes you approve within that same Enquiry or Project. (Yes, it can still be edited on quote level)
This feature is especially useful for projects that have a master PO number where each approved quote needs a version number (e.g., EG-1234-2).
Quotes – Details
You can enter a Purchase Order number at any time during the quoting process by editing the Quote Details tab on the right side of the screen.
(NB – This is saved only to each quote – not in the Enquiry/Project)

Quotes – Approval
The customer’s PO number can be entered when you approve a quote to create or regenerate a sale. This number is saved only to that specific approved quote, not to the main enquiry or project.

Important: – Client PO Numbers must be applied before the Quote is approved.
If the quote is approved without the clients PO# – the PO# will need to be added directly to the invoice in your accounting software.
Searching for Customer PO#’s
For your convenience, you can find Customer Purchase Order numbers on the following Summary Boards:

- Enquiries – (If entered into an Enquiry )
- Quotes
- Projects
- Jobs
- Invoices
(Tip: You may need to un-hide this column in Customise table > Edit Columns)
