Enquiries & Projects – How do they differ?

Enquiries are the initial stage of information gathering and preparation for the interaction with your client.

Enquiries include:

  • Event information, dates, and briefing notes
  • Quotes (That are all still open)
  • Artwork and Documents relevant to the campaign

Projects are the next stage.

An Enquiry transitions to a Project when it has been Won.

This will occur automatically when any of the contained Quotes are accepted by your client and Converted to a Job (a sale).

In addition to all of the information recorded in Enquiries (listed above), Projects provide access to documents created when converting Quotes to a Job (Sale).

This includes extra information about:

  • Jobs
  • Purchase Orders
  • Invoices

Projects can/will contain access to multiple Jobs, Purchase Orders, Invoices, Quotes and Files that relate to the initial Enquiry.

Tip: To save time New Quotes can be added, and relevant files uploaded, directly from within a Project

If required, you can manually force the Enquiry to become a Project by editing the Enquiry and changing the status to Won. ~ You might do this when performing an activity that doesn’t require a quote, invoice or purchase order and you would like to allocate the task to a colleague (or yourself) and/or record the activity in the system. – eg. Creating Mockups/Visuals
