Add Tracking Number

Adding tracking numbers follows the same process whether you’re using the Freight Tracking Quicklook or working directly within a Job Timeline.

However, the Freight Tracking Quicklook does not automatically assign a name or associate a project/job. For convenience, these tasks can be completed manually at a later time if needed—details are provided at the end of this article.

Clicking will open the add a new tracking number dialogue box for you to record relevant details, tags and notes.

How does Freight Tracking link to the correct Step in the Timeline?

Tracking uses the current date and the Freight steps in the timeline to connect to the appropriate freight segment, following either the current or the previous non-freight segment.

  • If the timeline location is currently ‘ABC Supplier’ and you add tracking, the tracking will attach to the next freight segment after ‘ABC Supplier.’
  • If the current location is already the freight segment following ‘ABC Supplier,’ the tracking will attach to that segment.”

This demonstrates the importance of allocating (and activating) the correct Freight steps in the Timeline

This automation only functions when the Freight Tracking entered is associated with a Project, Job and Timeline.

There are 2 ways to track shipments:

Auto Track

If the logistics company is API-connected to the Third Party tracking system, Brandengine will use the Auto Track option to continuously track your consignment and provide status updates until it is delivered.

Ensure the Auto track tab is highlighted in Blue…
…then simply enter the consignment note number into the Tracking Number field and click Detect Courier.
If the carrier is API-connected, the system will identify the courier and display the current shipment status

IMPORTANT – Be sure to check the correct courier has been detected.

Track Manually

If the carrier is not API-connected, is incorrectly detected, or you prefer to manage shipment tracking yourself, you can manually track the consignment.

Enter the consignment note number into the Tracking Number field, along with the courier name and any relevant details

Ensure the Track Manually tab is highlighted in blue.

Brandengine provides six selectable statuses to help you track your shipment.

Selecting Delivered will automatically insert today’s date, and vice versa—choosing a delivered date from the calendar will activate the Delivered status

When using the Delivery Failed or Something Wrong statuses, additional visual cues will appear to grab your attention on the Freight card. (example below)

NB ~ Consignments initially setup as Auto track can be switched to Track manually at any stage. However, the reverse is not possible.

Tags

Shipping Tags can be assigned to each consignment. These then appear on the corresponding freight card to provide instant visual context and categorisation.

Tags are user-definable, allowing you to align them with the terminology used in your business. They can be edited by your system administrator under
Company-Wide Settings > All Tags > Shipment Tags

Notes

You can add additional information using the familiar notes panel, which includes basic formatting and linking tools.

If a tracked consignment has a note, a sticky note icon will appear in the top-right corner of the associated freight card (next to the Edit button)


Freight Tracking Quicklook

In the Freight Tracking Quicklook, you can record shipment information that is not linked to a specific project or job. This is where naming the shipment becomes important.

Name the Shipment

To ensure easier identification in the future, assign the consignment a clear and meaningful name that your team can easily understand.

  • If no name is provided and no project or job is selected, the Con Note Number will be used to name the freight card.
  • If you immediately Select and Assign the Project/Job for the freight, the shipment name will be auto-filled if the Name field is left empty.

In most cases, however, you’ll want to associate the freight with an existing project or job to streamline production management.

NB – If you add tracking directly into a Job Timeline, this is done automatically.

to generate a new Enquiry/Project

Select the required Enquiry/Project and then click

Brandengine will display the linked project and client company.
If you’ve made an error click Change to select another project

Optionally, you can also associate the freight with a specific Job and production Timeline. This will position the freight card on the job page alongside the associated timeline, making it easy to reference later.
